Privacy notice
This notice explains what RepBrief processes, why we process it, and the controls available to you.
What we process
Account and profile details, including your name, email address and optional verified phone number; workspace memberships; calendar meeting metadata and participant contact details you connect or enter; audio you record or import; transcripts, preparation notes, rehearsals, debriefs and insights derived from that content; connected recorder identifiers and activity; support requests; and purchase or subscription records associated with your account.
Why
To provide meeting briefings, capture and transcription, conversation insight, CRM synchronisation you authorise, and follow-up support.
Personal versus organization workspaces
Data in your personal workspace is not visible to any organization you belong to. Data in an organization workspace is controlled by that organization, including its retention policy and administrator access.
Retention
Audio, transcripts, and insights have separate retention windows set per workspace. When a window expires the data is deleted permanently.
Your controls
You can export a transcript or summary, delete an individual recording, delete an optional seller voice reference, and delete your account. Deletions are permanent and are recorded in the audit log.
Optional seller voice recognition
You may explicitly record a short reference sample of your own voice. RepBrief stores it privately under your account and uses it only to suggest which diarized speaker is you in recordings you process. A suggestion does not affect meeting scoring until you confirm it. RepBrief does not use this feature to imitate or synthesize your voice, and it does not automatically create voice profiles for customers or other participants. You can replace or permanently delete your sample at any time.
Google Calendar data
If you connect Google Calendar, RepBrief requests read-only access to your calendar list and to events on the calendars you select. We use this data to display and synchronize meeting titles, times, organizers, attendees, and conferencing details; prepare meeting briefings and rehearsals; and connect preparation and debrief records to the correct meeting. RepBrief does not create, edit, or delete events in Google Calendar.
How Google user data is shared
We do not sell Google user data or use it for advertising. RepBrief does not use Google Workspace API data to develop, improve, or train generalized or non-personalized AI or machine-learning models. Google Calendar data may be processed by infrastructure and model providers acting on our behalf only when needed to provide the RepBrief features you request. We do not allow those providers to use it for their own advertising or to train generalized AI models.
Google data security, retention, and deletion
Calendar authorization tokens are encrypted at rest and transmitted over encrypted connections. You can disconnect a Google Calendar account from RepBrief at any time. Disconnecting deletes the stored authorization tokens and imported upcoming meetings and preparations associated with that connection. Completed recordings and debriefs are retained under the workspace retention settings and can be deleted separately.
Google API Services User Data Policy
RepBrief's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Third parties
Model providers process transcript text to produce insight. CRM providers receive only the fields your administrators have permitted and only when a sync is performed.
Tracking and advertising
RepBrief does not use your personal data to track you across apps or websites, does not sell personal data, and does not share personal data with advertising networks or data brokers.
